The Document Loader allows agents (and their approved admin teams) to upload documents that the AI can reference to provide more refined, property-specific responses. This ensures consistency and accuracy in the information delivered to clients, tailored directly to each property.
Why use it?
By uploading additional documents, you can:
Ensure clients receive consistent and accurate information.
Provide details that may not fit within the listing (e.g., compliance reports, unique property features).
Save agents time by letting the AI answer questions using verified, property-specific information.
Keep communication professional and reliable, while reducing back-and-forth.
How to upload a document
Log into the Agent Control Center.
On the left-hand side, go to “My Properties”.
Toggle between current and past properties if needed.
Locate the property.
Click the Upload option (cloud icon with an upward arrow).
In the pop-up window, either drag and drop your file or browse to select it.
Enter a Document Caption (required to complete the upload).
Once uploaded, documents will be visible under each property.
Wait for the AI to process the file (a green confirmation will appear in the bottom-right corner).
Use the Status column to confirm if the document has processed successfully.
👁️ Eye icon: view how the AI has summarised the document.
🗑️ Trash bin icon: delete the document if needed.
Once processed, the AI will supplement its answers with the uploaded document(s).
Examples of what to upload
Local newspaper/event articles.
Architect or designer details for new builds.
School information packs.
Bushfire Attack Level or water catchment details.
Solar input and battery storage specifications.
Property building materials or improvements.
Utility and compliance details.
File requirements
PDF only.
Max size: 20 MB per document.
Max uploads: 4 documents per agency.
Total limit: 40 pages across all documents.
Things to note
The AI references uploaded content where relevant but does not quote directly—it blends documents with CRM/system data to create natural responses.
Do not upload confidential or sensitive documents (e.g., private client details).
Updates require a re-upload via Propic Support—edits are not live.
The quality of responses depends on the quality of the documents—clear, structured information leads to better results.
If multiple documents overlap or conflict, the AI may merge them, which can sometimes cause inconsistencies.
