The Office Level PDF Uploader allows agencies to provide office-specific documents that the AI can reference when generating responses. This ensures more accurate, personalised, and consistent communication with clients.
Why Use the Office Level PDF Uploader?
Uploading office-level documents means the AI can provide responses that are aligned with your agency’s unique processes and services. This helps create a more professional and tailored client experience.
Examples of documents you may wish to upload include:
An office policy document detailing how your agency appraises and lists a property.
A help article outlining the services your Property Management department offers.
A step-by-step guide for handling Investment Referrals for Property Management.
Documents on supported financial services and associated Product Disclosure Statements (PDS).
File Requirements
To ensure successful upload and processing, please note the following restrictions:
File type: PDF only.
File size: Each document must not exceed 20 MB.
Upload limit: A maximum of 4 documents per agency.
Page limit: The total number of pages across all uploaded documents must not exceed 40 pages.
How to Upload Documents
⚡ Note: Only Propic Support can upload these documents on behalf of your office.
Steps for CX team:
Log into the Onboarding Portal.
Navigate to Sales Concierge or Leasing Concierge (depending on the tool that requires the document).
Select the Document Uploader option from the top toolbar.
Upload the required PDF document.
Allow processing time for the document to be read and stored.
Once uploaded successfully, the AI will reference the document to provide more refined, office-specific answers where relevant.
Key Benefits
Ensures responses are aligned with office policies and processes.
Provides tailored, professional answers that reflect your agency’s standards.
Reduces repetitive explanations by embedding office-specific knowledge directly into AI responses.
Things to Note
The AI will always reference the uploaded content where it is relevant, but it may not directly quote from the document. Instead, it blends the document information with CRM and system data to create natural responses.
Avoid uploading documents with confidential or sensitive information (e.g., private client details), as these are not appropriate for knowledge sharing.
Updates to documents require a re-upload by Propic Support—edits are not live.
Responses are only as strong as the information provided; clear, well-structured documents lead to more reliable results.
If multiple documents contain similar or conflicting information, the AI may attempt to merge them, which can sometimes cause inconsistent responses.
