To get the most out of Claire, especially when launching a new property, a little bit of timing can make a big difference. Here’s what you need to know about how Claire gets her information, and how to keep it accurate and up to date.

Give Claire a head start.
When launching a property, try to allow a couple of hours before it hits the major advertising portals. This gives Claire time to:
Receive the data
Begin AI training
Generate ad copy
We’ll send the ad copy back to you ASAP so you can use it in your marketing and listing description — before enquiries even start rolling in.
🔌 How Claire Receives Property Data: XML vs API
Claire uses two main sources to gather information from your CRM: XML and API. Here's how they work and what they mean for you:
📄 XML Feed
Based on the standard realestate.com.au format
A one-way feed from your CRM to us
Includes core property information (address, type, features, price, etc.)
Also provides property photos
Limited in scope – no advanced data like contracts or custom prices
🔁 API Feed
A two-way connection
Allows us to pull more detailed information, such as:
Custom/Quote Price
Contract of Sale
Pest or building reports
More dynamic — but it still relies on XML to trigger the update
🔄 Keeping Information Up to Date
If you update something important in your CRM — like the Quote/Custom Price — it won’t automatically push that change to Propic via API.
To trigger the update:
Edit a portal field (e.g. the listing description)
Save the listing to generate a fresh XML
This action tells the system there’s been a change, which then triggers the API to refresh the extra data Claire needs.
This ensures that Claire responds to buyer enquiries with up-to-date, accurate information — immediately.
🌙 Nightly API Sync (Fallback Option)
If nothing is manually triggered, we do a full API sync every night at midnight.
However, we don’t recommend relying on this — if something important changes (like the price), waiting until the next day isn’t ideal for responding to active buyer interest.
✅ Best Practice
Launch property to Claire before the portals
Trigger a refresh any time you update key info (e.g. Quote/Custom Price)
Don't rely solely on the overnight sync
This way, Claire always sounds smart, professional, and completely up to date in every response.
